Lotus Notes iNotes web email to Office365 Outlook web email migration

We are excited about the Territory’s continued progress towards the Office 365 platform. The next move forward is to migrate your Lotus Notes iNotes web email to Outlook Web Access web mail!
Please read through the following details carefully. It contains critical information to ensure a successful transition over to Outlook Web Access web mail!

What You Need to Know:

  • Your Go-Live date for Outlook Web Access web mail is Wednesday morning, November 8th.
  • Please feel free to use Lotus Notes for email until 9:00am Eastern Time on Wednesday, November 8th. After that, plan to take a little break from email.
  • Your Outlook web mailbox will be created for you that morning. If you try to access your Outlook web email before the mailbox is created, it will fail.
  • Plan to access your Outlook Web Mail around 12 pm or later on Wednesday, November 8th.
  • You will be able to access your Outlook Web Mail at the following link
  • Your Lotus Notes Email, Folders, Tasks, Contacts and Calendar will be brought over to your Outlook web mail as well. Encrypted messages and Contact Groups will not be migrated over automatically.
  • Our plan is to copy all your email messages from Lotus Notes web mail to Outlook webmail. However, this will take time to accomplish. Our approach will be to move messages in two passes:
    • Pass 1 – last 30 days of messages
    • Pass 2 – all other past messages
  • You will receive an email each time one of the passes is completed.
  • Please know that after Go-Live on Outlook, you will still have access to your Lotus Notes web mail and
    you are welcome to still go to your Lotus Notes web mail at any time for easy reference, but new incoming messages will no longer go there.
  • If you use various databases or other parts of Lotus Notes, such as USS Bulletins, USS Forms and Documents, Disposition, etc., you will still be able to access in the same manner you do now OR you can access these resources at the following link:

What You Need to Do:

  • Stop using Lotus Notes for email after 9am Eastern Time on Wednesday, November 8th.
  • On Wednesday, November 8th after 12 pm, follow the directions in the attached instructions to access your Outlook web mail.
  • We will be migrating your email in 2 passes:
    • Pass 1 – last 30 days of message
    • Pass 2 – all other past messages
  • You will receive an email each time one of the passes is completed.
  • If you notice anything missing, please wait until all passes are complete prior to submitting a help desk ticket.

What We Will Do Next:

  • We may follow up with you on your experience during this process
  • We will be available to assist or answer any questions related to the instructions above and in the attached directions. Contact information below.
  • Our approach will be to move messages in two passes. We will send a confirmation email after each pass.
  • Please know that we will do all we can to make your experience using Outlook web mail a good one from the very first day.
