Email Aliases in Outlook

Mail sent to your address with the Underscore or any other aliases will no longer be delivered.
Only mail to your username (firstname.lastname@uss.salvationarmy.org) will be delivered.

Once you are migrated to Outlook, you can request a temporary alias for 60 days to continue to receive mail at that address. Send an email to  usshelpdesk@uss.salvationarmy.org with the subject “add a temporary alias”. You must specify the full address of the alias that you want to add back.

When an employee leaves the company, a manager may also request a temporary alias to continue to receive email sent to that person’s address.

 

Identifying message sent to your alias addresses

It is not very clearly identified when you receive mail sent to an alias address in Outlook. Since the email aliases in Outlook are temporary, you will need to identify mail that continues to come in at these addresses so that you can notify the sender of your email address change.

Within the Outlook 2016 Client, you can create a rule to show mail received on an alias or underscore by following the instructions below.

  1. Open Outlook 2016 Client
  2. Go to File

  3. Choose Manage Rules & Alerts

  4. Create a New Rule
  5. Under “Start from a blank rule” section, Choose
    Apply rule on messages I receive
  6. Click Next
  7. On Step 1: Which condition(s) do you want to check?, Choose
    Sent to people or public group
  8. On Step 2: Edit the rule description (click an underlined value)
    Click the word “people or public group
  9. On the next window, enter the full alias address in the “To” field.
    For example, enter “jonathan.doe@uss.salvationarmy.org” in the To field and select OK
  10. Choose Next on the Rules Wizard Window
  11. On Step 1: What do you want to do with the message, Choose
    Assign it to the category category
  12. On Step 2: Edit the rule description (click an underlined value)
    Click the word “category
  13. Choose one of the existing Color Categories or Create a New One
  14. Rename the category and adjust the color, if desired.
  15. Choose Next on the Rules Wizard Window
  16. Specify if there are any exceptions, if not, choose next again.
  17. Review the Finish Rule Setup page,
    Confirm that the rule name, options and description are correct.
  18. Choose Finish
  19. Note: This rule will only run when you check your email in Outlook Client. If Outlook isn’t running, this rule won’t work for email you check online or from another device. Click OK to this warning
