 Making IT Easy to Contact Location and Role Users

IT has created groups in Domino for every location we have listed. It is in a format of DDD Corps/Location Name, where DDD is a three digit code for each division. i.e.: GEO for Georgia Division or MWV for Maryland and West Virginia Division.
For Example: NSC Aiken Boys and Girls Club
FLA Lake Worth Corps
TEX Austin Area Command
AOK Broken Arrow Corps

We also have groups for All locations in a division that enable emailing the entire division.
i.e.: ALM All Locations or MWV All Locations.

There are role groups that are listed in the following format: DDD CCCCC Role Name where DDD is the same three digit code for each division and CCCCC is typically either Corps or DHQ.
This enables easy communication with all corps finance departments (as one example).

Please note that there are only generic role groups within a division, not role groups per location.
For Example: FLA Corps Human Resources Department
FLA DHQ Social Services Department
TEX DHQ Music Department
ARC Command Human Resources Department
ARC Center Administrator
FLA DHQ Women's Department

Users can only be in a single location group at this time. If they work at multiple locations, they will only be listed in their primary location.

Users can be in multiple role groups depending upon their role.

Location and Role group membership is maintained by your local IT staff within Active Directory. For any updates, have the appropriate person at your location send an email requesting and authorizing the location or role group change to usshelpdesk@uss.salvationarmy.org.

You May Lookup Groups While Composing a New Message or in the USS Address Book.

Lookup Groups While Creating a Message in Outlook

In the Outlook Web App, use the instructions below, except you may search directly in the To:, Cc:, or Bcc: fields.

In the Outlook 2016 Client:

  1. Click New Email
  2. Click the To:, Cc: or Bcc: buttons
  3. Search the USS Address Book for the Location or Role Group of your choice
  4. Start your search with the Divisional 3 Letter Identifier. i.e.: Maryland and West Virginia Division is MWV
  5. To search for a Location Group and reach every user account at that unit.
    1. Enter a space then search for the unit name like: “MWV Middle River
    2. The Address Book will return “MWV Middle River Corps” in Bold
    3. You may click either of the recipient fields at the bottom to put the group in that field.
  6. To search for a DHQ or Corps role group and reach ever user account with that role
    1. Enter a space then enter either DHQ or Corps like: “MWV DHQ”
    2. The Address Book will return MWV Role Groups in Bold
    3. You may click either of the recipient fields at the bottom to put the group in that field.
    4. Note: Role groups span locations and will reach every user account in the division with that role. Every account has at least 1 role.
      The DDD Corps Officer role is in every other DDD Corps role group. They will receive the message when other corps roles are used.
  7. These new Location and Role Groups replace older Lotus Notes distribution groups. They are automatically kept up to date through Information Technology processes.
    Every user account here must be in 1 Location group and at least 1 role group at creation. Kudos to the THQ IT Infrastructure Team for this awesome innovation!

Lookup Groups While Creating a Message in IBM Lotus Notes

  1. Open IBM Lotus Notes
  2. Open Your Mail Inbox and Select New to start a message
  3. Click the Blue To: Link next to the To: Field. (See Picture #1)

  4. In the Select Addresses Popup, Choose the Directory: “USS Address Book” (See Picture #2)

  5. Type the Divisional Code in the Field: “Find Names Starting With” and Groups for that division will begin to list. (See Picture #3)

  6. Continue to type either the Corps/Location Name to find Location Groups OR
    Type the word “Corps” or “Division” to find Role Groups in that division.
  7. Select the Group you would like and then click the desired field to put it in: To, CC, BCC. (See Picture #4)

Lookup Groups and see its Membership using the USS Address Book

Follow the steps below to open and view group memberships using the USS Address Book in the IBM Notes Client.

  1. Open IBM Lotus Notes
  2. Click the Home Tab or Workspace (Page with Square Boxes to other databases)
  3. Open the USS Address Book (See Picture #1)

  4. Select Groups on the left navigation. (See Picture #2)
  5. In the Search Bar for the view, Enter the first part of the group you would like to find. (See Picture #3 & 4)
    For Location Groups, enter the Division’s three digit code and the city, i.e.: NSC Durham
    For Role Groups, enter the Division’s three digit code and the word “Corps” or “DHQ”, i.e.: NSC DHQ

  6. Select the Group that you would like and Double-Click it to View the Members (See Picture #5)

 Best Practices When Using these types of Groups for Email

These New Groups allow for email to be sent to a potentially large group of people. Please be mindful of how you use the groups for your messages.

Your message should be relevant to the members of the group you include on your email.
If the recipients will not need to reply-all to everyone in the group, consider using the BCC field.
Please do not add these location / role groups to spam or newsletter subscriptions

Location and Role Group changes are made through the Information Technology (IT) Department.

Please send your change requests by email to USSHelpDesk@uss.salvationarmy.org.
Include in your email who needs to be added or removed to which group and the reason for the change.
IT may also need the name of the individual’s manager to make the change in the system if it is not already provided.

Note: New Employee and Officer User Accounts are added their primary location and 1 role group when they are created.
